What Happens When You Onboard a Rental Property With Home Forward

If you've ever looked at a property management company's website and thought 'this sounds great, but what actually happens after I sign?' — this post is for you.

Getting started with Home Forward is designed to be simple. But 'simple' doesn't mean vague. We want you to know exactly what to expect at every step — from the first phone call to the day your property is actively managed and generating income. So here's the full picture.

We started this company in 2009 with 7 properties and have grown to over 1,000 through partnerships with great owners — because we believe one thing: we are successful when you are successful.

That belief shapes everything about how we onboard new owners. The process isn't designed to get you through a checklist as fast as possible. It's designed to make sure you feel confident, informed, and genuinely supported by the time your property is in our hands.

Here's exactly how it works, step by step.

Step 1: Reach Out and Jump on a Quick Screening Call

Everything starts with a simple conversation. Whether you reach out by phone, online form, or email, we'll schedule a short screening call — usually 15 to 20 minutes — to learn about your property, understand your goals, and make sure we're the right fit for each other.

There's no commitment at this stage. No paperwork. No pressure. It's a conversation, not a sales pitch.

On the call, we'll cover:

  • Your property type, location, and current situation — vacant, already occupied, or switching from another management company

  • What you're looking for in a property management partner

  • How Home Forward works, what's included, and what to expect from us

  • Any questions you have before moving forward

If it feels like a good fit on both sides, we schedule your rent readiness inspection and you take the next step. If it doesn't, we'll tell you honestly — we'd rather you work with someone who's the right fit than sign an agreement that doesn't serve you.

Step 2: Meet Your Property Manager at the Rent Readiness Inspection

This is where Home Forward's onboarding process looks different from most property management companies — and it's worth understanding why.

Most companies assign you a property manager after you've signed a contract. You fill out the paperwork, and then someone gets in touch. At Home Forward, it works the other way around. Before we sign anything, we visit your property in person — and we bring the property manager who will be managing it.

You don't meet your property manager after you've signed. You meet them at the inspection, before you've committed to anything.

Your dedicated property manager is a local agent actively working in the Central Kentucky market. They live here, they know the rental landscape, and from the moment they walk through your door they're building the knowledge of your property that will make them genuinely effective at managing it.

What happens at the rent readiness inspection

The inspection is a thorough in-person assessment of your property's condition. Your property manager will:

  • Walk through the entire property with you — every room, every area

  • Assess the condition and flag anything that needs attention before a tenant moves in

  • Recommend a rent price based on current Central Kentucky market data — not a rough estimate, a real analysis of what comparable properties are renting for right now

  • Document the property with photos and detailed written condition notes

  • Walk you through any pre-lease repair or preparation items with cost estimates

After the visit, you'll receive a full rent readiness report. Nothing moves forward — and nothing gets spent — without your approval. This inspection is how we protect you from surprises down the road, and it's how we make sure we can genuinely deliver results for your property before we commit to managing it.

By the end of this visit, you have a name, a face, a direct line, and a real sense of whether this is a person and a company you want to work with long term. That's intentional.

Step 3: Sign Your Management Agreement

Once the inspection is complete and you're ready to move forward, we sign the management agreement. And here's the thing — by this point, it doesn't feel like signing with a stranger. You've already met your property manager. You've walked the property together. You've had a real conversation about your goals.

There's no awkward handoff. There's no 'now let us introduce you to the person who will actually be managing your home.' You're already working with them.

From this point forward, your property manager is your single point of contact at Home Forward. Not a call center. Not a ticketing system. Not a rotating team of people who have to look up your file every time you call. One local person, assigned to your property, who knows the details and handles the day-to-day.

Think of it as having a concierge for your rental — someone who is accountable, proactive, and in your corner.

Your dedicated property manager will:

  • Be your first call for questions, updates, and any decisions that need your input

  • Handle all communication with your tenants on your behalf — you never have to have an awkward conversation with a tenant about money, maintenance, or lease violations

  • Oversee maintenance requests, coordinate repairs, and keep your property in good condition

  • Manage leasing when your property needs a new tenant — from marketing through screening and move-in

  • Send you monthly financial reports and keep you updated on anything significant

  • Know your property, your preferences, and your goals — for as long as we work together

Step 4: Complete Your Onboarding Checklist

Right after signing, your property manager sends you a personalized onboarding checklist — a comprehensive list of the documents and details we need to get your property fully set up in our management systems. You'll also be added to a shared Google Drive where you can upload documents digitally. If you prefer, you can also email them, or drop off or mail paper copies — whatever works best for you.

Most owners pull everything together within a day or two. Your property manager is available to help if anything on the list isn't clear or if you're not sure where to find something.

What's on the checklist

Here's everything that typically goes on your onboarding checklist when transitioning a property to Home Forward:

  • Property reserve funds — sent to Home Forward via check or through the Rentvine owner portal

  • Security deposits — transferred to Home Forward if there's an existing tenant in place

  • Future rent already paid by the resident — transferred to Home Forward

  • Property insurance documentation

  • Mortgage information — whether the property has a mortgage and whether it's government-backed (e.g., CARES Act)

  • Rent roll, if available

  • Resident ledgers, if available

  • Keys

  • Current lease agreements

  • Resident contact information

  • Move-in walk-through inspections and photos, if available from a previous manager or self-management

  • Utility information — the companies, account numbers, and whether each utility is the resident's or owner's responsibility

  • Mowing responsibility — is lawn care the resident's job or the owner's?

  • HOA information and governing documents, if applicable

If you're transitioning from another property management company, your property manager coordinates directly with them to collect many of these items. You shouldn't have to chase documents between your old and new manager — we handle that handoff.

Getting set up in our systems

Once we have your checklist items, we set your property up in our property management software, owner portal, and accounting system. You'll receive an email invitation to create your Rentvine owner portal login — a secure platform where you can:

  • Check rent payment status in real time

  • Review all maintenance activity on your property

  • Access your monthly financial statements and year-end documentation

  • Send funds via EFT or credit card

Your property manager walks you through the portal personally. You don't need to be tech-savvy — it's designed to be clear and straightforward, and we make sure you're comfortable before moving on.

Our goal is to have your property fully set up and actively marketed within one business week of signing — provided you're able to complete your checklist promptly. Most owners hit that target easily.

Step 5: We Launch — and You Start Getting Paid

With setup complete, your property manager takes over. What happens next depends on your situation.

If your property is vacant

We move straight into leasing mode. Your property manager oversees the entire process from start to finish:

  • Professional photography — every listing we create is presented with quality photos that show your property in its best light

  • Listing creation — a clear, compelling description with the specific details serious renters are looking for

  • Multi-platform distribution — your property is listed across Zillow, Trulia, and other platforms where Lexington renters are actually searching, through our Rentvine software

  • Inquiry management — we respond to every inquiry quickly, because slow responses are one of the top reasons good applicants move on

  • Showing coordination — we schedule and conduct all showings; you don't need to be available or involved

  • Full tenant screening — every adult applicant goes through our complete process: credit, income, employment, eviction history, criminal background, and previous landlord references

  • Lease drafting and execution — a Kentucky-compliant lease, security deposit collection, and a documented move-in inspection

If your property is already occupied

Your property manager manages the handoff so your tenant barely notices the change. We send a professional introduction letter explaining the new management arrangement, how rent will be collected going forward, how to submit maintenance requests, and who to contact with questions. The goal is zero friction — your tenant should feel the switch is a step up, not a disruption.

If you're switching from another property management company

Your property manager coordinates directly with your previous manager to collect all the information and documentation we need to take over smoothly — lease documents, financial records, security deposit transfer, tenant information, and any vendor relationships worth continuing. Your only job is to give notice to your current company. We handle everything else.

What ongoing management looks like

Once everything is in place, your property runs through your property manager and our systems. Here's what that looks like month to month:

  • Residents are notified of the change in management and directed to send rent payments to Home Forward

  • Your first Property Owner Report is issued on the date confirmed during setup, followed by an EFT of available funds — your first look at your property's financial performance under our management

  • From there, rental income is deposited on the first day of each month for the previous month's collections

  • Maintenance requests are handled start to finish — tenants contact us through our maintenance portal, we dispatch our in-house team or a vetted contractor, and you're notified of anything significant

  • Monthly financial statements go out automatically and are always available in your Rentvine owner portal

  • Your property manager proactively keeps you updated on anything that needs your attention — you're never left wondering what's happening

What the Whole Process Looks Like End-to-End

From first conversation to fully managed property, here's the condensed version:

  • Quick screening call — learn about your property, confirm we're a good fit

  • Rent readiness inspection — meet your dedicated property manager in person before signing

  • Sign the management agreement — with someone you've already met and talked to

  • Complete your onboarding checklist — your PM helps, and we do the setup

  • We launch — marketing, tenant placement, or handoff — and you start getting paid

That's it. Most owners are surprised by how straightforward it is. The goal isn't to put you through a process — it's to get your property performing as quickly as possible with as little friction as possible for you.

One conversation started it. One person handles it. Your rental runs the way it should.

If you're ready to get started, or you just have questions about what this would look like for your specific property, reach out. We're happy to talk through it.
